The Complete Guide

How Credit Card Processing Works — and How to Pay Less for It

A plain-English breakdown of every fee, every player, and every line on your merchant statement. Brought to you by PaySmart Technologies — the transparent, interchange-plus payment processor.

How a Single Credit Card Transaction Actually Flows

Every swipe, dip, tap, or online checkout follows the same five-step path. Understanding it is the first step to controlling what you pay.

    1. Cardholder presents the card

A customer taps, dips, swipes, or enters their card number into your terminal, mobile reader, or online checkout. The card data is encrypted on the spot — modern terminals never store the raw PAN (primary account number).

    2. The terminal sends the request to PaySmart

PaySmart Technologies, your payment processor, receives the encrypted authorization request. We validate it, check it against fraud rules, and forward it through the appropriate card network in under 200 milliseconds.

    3. The card network routes to the issuing bank

Visa, Mastercard, Discover, or American Express routes the request to the bank that issued your customer's card (the issuing bank). The issuer checks for sufficient funds, suspected fraud, and account status, then approves or declines.

    4. Approval flows back to the terminal

The approval (or decline) travels back through the same path. The customer sees an "Approved" message, the terminal prints a receipt, and the sale is captured into your daily batch.

    5. Settlement and funding

At the end of the day, your batch is submitted to PaySmart. We deduct interchange, assessments, and our processor markup, then deposit the net into your business bank account — typically by the next business day.

Interchange Rates Explained: What You're Actually Paying For

Interchange is the largest component of every credit card processing bill — usually 70–85% of total fees. It's a wholesale rate set by Visa, Mastercard, Discover, and American Express and paid directly to the bank that issued your customer's card. Interchange is non-negotiable. No processor — including PaySmart — can lower it. What we can do is pass it through transparently and add only a small, fixed markup on top.

Interchange rates vary based on several factors: the card type (debit vs. credit, basic vs. rewards vs. corporate), the way it was accepted (in-person, keyed-in, online), your industry (MCC code), and the size of the transaction. Here are real-world examples of interchange rates you'll see on your statement:

    Card TypeNetworkTypical Interchange
    Regulated Debit (Durbin)Visa / Mastercard0.05% + $0.22
    Standard DebitVisa / Mastercard0.80% + $0.15
    Visa Traditional CreditVisa1.51% + $0.10
    Mastercard WorldMastercard1.73% + $0.10
    Visa Signature PreferredVisa2.10% + $0.10
    Mastercard World EliteMastercard2.50% + $0.10
    American Express OptBlueAmEx2.30%–3.50% + $0.10

The Three Pricing Models — and Which One Wins

Every payment processor uses one of three pricing structures. Pick the wrong one and you'll silently overpay thousands every year. Here's how each one works, with the math on a $10,000/month merchant accepting a typical mix of cards:

    Flat-Rate

    e.g., Stripe, Square

    2.9% + $0.30

    $320/month

    on $10,000 in monthly volume

    Pro: Predictable, easy to understand

Con: You overpay on every debit and standard credit card

    Tiered

    e.g., legacy banks, ISOs

    1.79% / 2.49% / 3.29%

    $285/month

    on $10,000 in monthly volume

Pro: Looks cheap on the rate sheet

Con: Most cards downgrade to "non-qualified" — true cost is hidden

    Interchange-Plus

    PaySmart Technologies

    Interchange + 0.20% + $0.10

    $215/month

    on $10,000 in monthly volume

Pro: Fully transparent — you see every fee and markup

Con: Statements take a moment longer to read

The bottom line: on the same $10,000 in monthly volume, a merchant on interchange-plus saves roughly $1,260 per year versus flat-rate and $840 per year versus tiered. Multiply that across multiple locations or higher volume and the savings compound fast.

How to Read Your Merchant Statement, Line by Line

A merchant statement is intimidating on purpose. Most processors design them to obscure how much you're actually paying. Here's exactly what to look for:

    Sales Summary

Top of the statement: total processed volume, transaction count, and average ticket size. Verify these match your own records.

    Interchange Fees

On an interchange-plus statement, every category appears separately (e.g., "Visa CPS Retail Debit," "MC World Card-Not-Present"). On a tiered statement, you'll only see "Qualified," "Mid-Qualified," and "Non-Qualified" — that's a red flag.

    Network Assessments

Visa charges 0.14%, Mastercard 0.1375%, Discover 0.13%. These are pass-through fees — no honest processor profits on them. Add a few small fixed fees like the NABU (Network Access and Brand Usage) fee.

    Processor Markup

This is what your processor actually keeps. With PaySmart it's a single line: a small percentage (e.g., 0.20%) plus a per-transaction fee (e.g., $0.10). With other processors it can be hidden across 6–12 different fees.

    Junk Fees to Watch For

PCI non-compliance fee ($20–$40/mo), monthly minimum ($25), batch fee ($0.25 per batch), statement fee ($10), IRS reporting fee, annual fee. PaySmart eliminates every one of these.

    Adjustments & Chargebacks

Refunds, chargebacks, and reversals. Each chargeback typically costs $15–$25 in addition to the disputed amount.

    Net Deposit

Total sales minus all fees minus chargebacks = the net amount deposited into your bank account.
