The 5-Step Chargeback Response
1. Read the reason code
Every chargeback comes with a 4-digit reason code (e.g., 10.4, 13.1, 4837). It tells you exactly which dispute the issuer is alleging — fraud, "not received," "not as described," duplicate processing, etc. Your evidence must match the specific code.
2. Gather your evidence
Receipt or invoice, signed proof of delivery, AVS/CVV match, IP and device fingerprint, customer email thread, your terms of service, photos of product/service, refund policy. Build the packet for the specific reason code, not in general.
3. Write a rebuttal letter
A 1-page cover letter that summarizes the transaction, references each piece of evidence by exhibit number, and clearly states why the chargeback is invalid. Stay factual — issuers ignore emotional arguments.
4. Submit representment
Upload everything through your processor's portal (PaySmart's submits in 3 clicks) within 7–10 calendar days. Late submissions = automatic loss.
5. Track to resolution
The issuer reviews within 30–45 days. If you win, funds are credited back. If you lose, you can escalate to "pre-arbitration" or "arbitration" — though network fees ($150–$500) usually make this worthwhile only on disputes over $1,000.
